Service Charge Accountant

Leigh-on-Sea

An exciting opportunity has arisen for a Service Charge Accountant to join our busy team in our Eastwood Office in Essex.

Applicants must be either ACA, ACCA or CIMA qualified, preferably with previous Service Charge experience. Along with sound commercial understanding, you must possess excellent communication skills and an exceptional knowledge of Microsoft Excel.

This opportunity offers the chance for a team player to assist and support the Head of the Service Charge Department in continuing to develop an already experienced team and working together to achieve Corporate KPI targets. This role requires a self-motivated, driven professional with the skills to manage multiple projects whilst working meticulously to strict deadlines.

Reporting to the Group Financial Controller, you will have the following responsibilities:

  • Prepare Service Charge budgets and actively working alongside the Property Management Department to ensure that these are realistic, effective, and distributed in a timely manner to achieve KPI targets.
  • Input budgets onto the database ensuring charges are applied correctly and apportionment’s agree.
  • Assist Property Managers with account queries and budget preparation.
  • Prepare the weekly budget report for distribution to DOO and GFC
  • Prepare the monthly periodics report for the Corporate Department.
  • Raise periodic Service Charge demands and recharges as required.
  • Assist with ad-hoc projects as required.


Prepare Service Charge accounts for the managed property portfolio to include:
 

  • Analysis of income and expenditure
  • Accruals and prepayments where necessary
  • Review and analysis of the Service Charge budget to actual expenditure and prior year performance.
  • Liaising with the Property Managers and external accountants to ensure accounts are complete, queries resolved and issued in a timely manner to achieve Corporate KPI targets.

Paralegal

Leigh-on-Sea

An exciting opportunity has arisen for a Paralegal to join our busy Solicitors Enquiries Department at our office in Leigh-on-Sea.

The successful applicant will be joining a growing team that is responsible for legal enquiries in respect of Service Charge and Ground Rent properties on behalf of Management Companies.

This includes, but is not limited to:

  • Producing sales information packs
  • Dealing with pre-contract sales enquiries in respect of any relevant sales, re-mortgages or transfer of equity
  • Post completion – dealing with and receipting Notice of Transfer/Charge
  • Updating our company case management system with new lessee details/charge details
  • Dealing with and creating Deed of Covenants, Certificate of Compliance and Share Certificates
  • Ensuring the accounts are clear prior to the release of any sales information packs and on the completion of a sale
  • Processing cheques and liaising with our accounts department
  • Scanning and filing all documentation that passes through, e.g Notices, Land Reg docs etc.

The successful candidate can demonstrate an excellent working knowledge of Microsoft Office applications, including Word and Excel, possess strong administrative skills, an ability to work to strict deadlines and handle a large and varied caseload. You will be used to working in a fast-paced and demanding environment. 

A high level of attention to detail will be required and previous litigation experience is preferred.

Purchase Ledger Assistant

Leigh-on-Sea

As we continue to grow, an exciting opportunity has arisen to join our expanding Accounts Department at our Eastwood Office in Leigh-on-Sea, Essex.

The successful candidate must:

  • Ensure the timely scanning and posting invoices onto our Property Management system, each invoice is referenced to the correct property, heading etc.
  • Check invoices are sent in the correct format i.e. hard copy, in the freeholder name etc and refer to contractor if there are any errors.
  • Liaise with Property Management department regarding contractor queries
  • Ensure all invoices have been signed off by the correct departments within the workflow and is removed from the invoice register.
  • Raise & post cheque payments onto the system and send these, along with a remittance advice out in a timely manner.
  • Deal with contractor queries e.g. chasing payment, sending site declaration forms.
  • Post all Gateway invoices onto our Property Management system and settle where appropriate.
  • Filing/admin in respect of the above.
  • Ensure direct debits are set up correctly & in a timely manner
  • Check Contractor PLI’s and liaise with relevant departments

Sales and Lettings Administrator

As we continue to grow, an exciting opportunity has arisen for a Sales and Lettings Administrator to join our increasingly busy team! 

Reporting to the Department Managers you will be providing exemplary levels of customer service for our clients and customers. You will assist all aspects of sales and lettings processes, reporting maintenance issues of properties, along with general administration. 

Other duties will include, but are not limited to:
 

  • Arranging and assisting with property inspections
  • Arranging and conducting property viewings
  • Liaising with and updating landlords / vendors regularly
  • Cross-selling departments
  • Securing new Business
  • Assisting with KPI and monthly reporting
  • Ensuring the company’s adherence to all relevant legislation
  • Assisting with property auditing and compliance
  • Assisting with all aspects of a new tenancy, including document preparation, referencing, check in/out, tenancy checks, Inventory checks and receipt of all necessary funds
  • Negotiating rent increases at renewal stage & issuing renewal documentation
  • Ensure internal systems regularly updated 
  • Assistance with any maintenance issues that arise

  • Chasing arrears


Confidence will be key, as you will need to be effective in managing the needs and expectations of our clients.

Candidates will be well-presented and self-motivated. A real team player, you will possess emphatic interpersonal and communication skills. You’ll also be very well experienced with IT, namely Microsoft Office.

To be considered for the role, you must have previous experience with administration. Lettings experience also being desirable. Flexibility in your role will be important, as some overnight stays may be required for properties that are further afield. A full, clean driving licence is essential.

Chartered Surveyor

Due to unprecedented new business success, we have an exciting opportunity for an experienced Chartered Surveyor to join our Team at our office in Leigh-on-Sea, Essex.

You will be required to carry out regular inspections on properties as instructed and oversee Section 20 works. This will include preparation of schedules of work, contracts and report writing. This role requires you to work closely with the Property Management department and liaise regularly with Property Managers on Section 20 works as well as conducting regular site inspections across various locations nationwide.

Responsibilities include but are not limited to:

  • Organising and overseeing all Section 20 works including the preparation of schedules of work, contract administration, defect diagnosis and report writing.
  • Management of external professional consultants and contractors.
  • Project managing all works updating Property Managers regularly.
  • Effectively managing budgets and completing projects on time.

    Professional skills and accreditation:
     
  • High level computer skills, particularly Excel
  • Previous experience necessary
  • RICS qualified essential

An exciting opportunity has arisen for a talented Digital Marketing Assistant to join our growing Marketing Team in a full-time, office-based role in Southend-on-Sea.

A diverse position requiring a broad technical skillset, your primary duty would be to assist in the growth of the company’s digital presence in a competitive industry using a variety of different methods and tools.

This includes, but is not limited to:

 

  • Researching new lead opportunities using property databases and setting up profiles for ongoing monitoring and alerts on relevant projects for sales contact 
  • Researching new leads, companies and representatives for contact opportunities to introduce Gateway. 
  • Prepare marketing emails and materials to be distributed to new potential leads. 
  • Oversee our social media channels and exploring new ways to improve our reach
  • Staying on top of current industry information, including the latest industry news, events, awards etc
  • Managing our Google Ads output, tracking progress and identifying any relevant changes required

 

Whilst you will have your dedicated responsibilities, you will also be expected to assist the rest of the Marketing Team as and when required, therefore there will be some:

You are a quick learning, methodical self-starter who can adapt to new challenges as and when they arise. 

Expert knowledge in Google Ads, Microsoft Office (Word, Powerpoint, Excel, Publisher) and a strong grasp of Adobe CC (Photoshop, Illustrator, Lightroom) and Mailchimp would be a big bonus.
